Inventory is an important moment for a company. It allows you to analyze, value and update stocks.

Fastmag makes it possible to carry out a global or partial inventory. There are several inventory systems depending on the needs of companies:

  • Inventory scanner with memory
  • Wired shower
  • manual
  • by file import
  • per cart

These methods can be mixed together as needed.

Tips for in-store or warehouse inventory preparation

General case (Fastmag Boutique and fastmag Négoce):

  • Check that the products are clearly identified by a label representing the reference (called " barcode" in Fastmag) the color and size if applicable or the EAN13 code (gencod).
  • Zoning the store or depot so that you can then create the locations in Fastmag so that you can make checks when needed.
  • Check that there is no receipt of goods awaiting integration into stock while the delivery is physically present.
  • Check that there are no customer reservations in progress. In case of conservation, make sure that the reserved products are physically present and correspond to the reservations in Fastmag. In this case, do not inventory it because a reservation has the effect of removing the item from stock.
  • Check that stock movements are up to date.
  • The inventory must imperatively be done on a single POS or PC computer under windows and on the Fastmag application and not on a page WEB
  • Edit the stock statement valued at the purchase price as of the day  just before launching the first phase of the inventory which is the " Inventory Preparation" in Fastmag.

1. Preparation of total or partial inventory on a store in Fastmag Shop and trading :

Inventory preparation is used to determine inventory in order to calculate inventory purchases.

Fastmag allows you to make a global inventory or a partial inventory on a store.

To start inventory preparation: 

• Choose the shop (highlighted).

It is strongly recommended to check "Start the inventory recalculation procedure before preparing the inventory": 

Before validating the launch of the inventory preparation, which makes it possible to synchronize all the tables of FastMag and to leave with a consistent stock for the inventory. 

Then click on " Validate ".

Set optional parameters to prevent the scope of the inventory. For this, several criteria are available to you:  

  • By department (e.g. accessories, men, women, ...)     
  • By season (ex: 08E, 07H .............)
  • By product family (e.g. bracelet, baby doll, tie, ..........)
  • By supplier (e.g. small boat, Damart, Chanel ...........)  
  • By brand (ex: Hello kitty .............)  
  • By model (e.g. Cindy,...)  
  • By theme (e.g. Cuba,...)  
  • By Material (e.g. Linen,...)  
  • By Sub-Family (e.g. ml,... shirt)  
  • By barcode reference (ex: BX003 .......), you can inventory up to 10 barcode references at a time. 
Careful:
Each criterion is restrictive. If the selection of a season, only these items will be proposed in the preparation of the inventory and it will therefore not take inventory only the products concerned by your criteria.  Thus, if by mistake items are inventoried outside the criteria for launching the inventory of these will be discarded at the validation of the inventory.

2. Special case for the Inventory of a depot of a brand having Fastmag Négoce

➢ It is no longer necessary to issue or modify the delivery note during inventory       .     

➢ If there is one or more BLs in reservation of deliverables or non-deliverables for trading customers, they are by default excluded from FastMag's saleable stock.    

Careful:

If you have delivery notes in reserve deliverables or undeliverable for customers, they are by default excluded from FastMag's saleable stock. 

But if they merge with the remaining stock of your deposit, you can choose to count them by ticking according to the case in which you are:  

Check: "Physical stock reserved for a trading customer", for delivery notes in reservation not deliverable in the event that their stocks do not have to be set apart from saleable stock. 

Check: "Physical stock reserved and departing for a trading customer", for delivery notes in reservation departing if they too are not in their boxes ready to be shipped. 

We draw your attention to the fact that if you decide to count your bls in reservation and if you count for a reference to the T/C in quantity lower than the quantity in reservation, your inventory can not be validated

Example: 

if for the reference ANGELA in size M color RED, you count 8 while you have 10 in reservation, FastMag does not require its validation. 

The stock counted must be at least equal to or greater than the stock reserved in your various delivery notes.    

 Then click on " Validate "

The results of the inventory preparation are visible in the goods receipts.

The preparation of an inventory produces a receipt by the supplier for items in stock. Each reception will have for proof "PREPA INVENTORY". The stock area of all receipts preceding the inventory is reset while the stock area of the new receipt indicated by the preparation contains the theoretical stock. 

This operation allows you to continue retail sales on the software as long as you add your inventory to the quantities sold.
